How It Works
01. RECRUITMENT & ONBOARDING

We meet with you and discuss the roles you require. We will create a Position Description together and discuss commencement date, wages and assistance required moving forward. The Position Description is personalised to the needs of your office and will include clear KPIs and measurable outcomes for your international staff member.

We advertise positions internally within our network and on Philippine job sites.

Our team matches the candidates' experience and skills for the requirements of the position. Candidates are shortlisted based on this alignment. Candidates must submit their resumes through a form we have customised that also gathers information about their experiences, skills, software and programs they are using etc.

The preferred candidate will have to take a 5-part skills test to assess their abilities relevant to the virtual assistant role. Each section will be scored and the candidate will receive a final rating based on their overall performance. Data from this test is provided to the future employer.

Shortlisted candidates will have a video interview with the HR Team. Our aim is to have 2-3 candidates at this stage. The Employer will receive a copy of the video recordings and select the candidate(s) to put through the final interview, in which the employer will be a part of.

We discuss with the employing office the candidate they choose to recruit into their business. This will include confirming start date, wages, and any other questions will be up for discussion.
02. OFFER
-
A letter of offer is sent to the successful candidate. Once this is accepted, the employing office is notified.

A contract is exchanged with the Position Description attached. The contract is individually
tailored to the employee. Once accepted, the employing office will be notified. -
A meet and greet occurs with the office and the new employee via video call on the day of
commencement prior to the handover.
03. MANAGEMENT
-
As part of our service, your business will have a login to our time monitoring system, which is a product that grabs the team member's screen every 3 minutes and provides reports on in-activity and non-commencement of work. We also find it helpful to manage team members' workloads. In addition, it is advantageous to have in place for your professional indemnity insurance as it shows you have measures and controls in place to manage data accessed offshore.

We manage the leave obligations of your VA through our payroll system. It is your obligation to let our team know when your employee is taking any leave, whether it be personal or annual leave.

Check ins with your employee are scheduled after their start date - 2 weeks, 1 month, and quarterly thereafter.
04. PAYROLL
-
Payroll will occur for your international team member each fortnight, and your office will be invoiced fortnightly in advance. An auto debit will be set up for this invoice. Any leave or other payroll amendments will be reflected in the following fortnight's invoice. The office will be responsible for communicating leave and amendments to us in the specified time frame.

We benchmark our rates to ensure our Remuneration Policy aligns with average wage rates for staff working at home in their home country.
